  • Booking preferences, consent choices, and marketing opt-in where relevant

Client form information (Reiki & Seichem sessions)

  • Name
  • Email address
  • Phone number
  • Address
  • GP details
  • Emergency contact details
  • Information about previous Reiki sessions
  • What you would like support with
  • Any health, medical, psychological, or wellbeing information you choose to share
  • Accessibility needs or preferences

Newsletter information

  • First name (where provided)
  • Email address

Technical data

  • Basic website usage data, which may be collected through cookies, analytics tools, or embedded services

 

3. How your information is used

Your information may be used to:

  • manage bookings and appointments
  • provide Reiki and Seichem sessions, tarot readings, and any future services offered through Nordlight Healing
  • respond to enquiries
  • send email updates where you have given consent
  • maintain appropriate client and business records
  • improve the website and services

I only collect and use the information necessary to provide these services.

Some information shared in Reiki and Seichem client forms may include health or wellbeing information, which is considered special category data under UK GDPR.

This information is:

  • provided voluntarily by you
  • used only where relevant to your sessions
  • processed under the lawful bases described in Section 4 and, where required, with your explicit consent
  • handled with appropriate care, confidentiality, and security measures

Only the information necessary to provide safe and appropriate sessions will be collected and used.

 

6. Newsletter emails

If you choose to subscribe, your email address (and name where provided) will be used to send occasional emails with updates, reflections, and offers from Nordlight Healing.

You can unsubscribe at any time using the link in any email.

Email marketing is managed using EmailOctopus, which processes subscriber information on my behalf in order to send newsletters and related email communications.

 

7. Bookings, payments, and forms

Bookings and forms may be processed using:

  • TidyCal (booking system)
  • Tally (forms)

Payments may be processed through:

  • Stripe
  • PayPal
  • bank transfer or cash, where applicable

TidyCal may also send essential service emails relating to your booking, such as confirmations, reminders, rescheduling updates, or cancellations. These are transactional communications, not marketing emails.

These providers may process your data in accordance with their own privacy policies.

 

8. Sharing your data

Your data is only shared where necessary with trusted service providers used to run the business, such as booking, email, form, website, analytics, and payment platforms.

I do not sell your personal data or share it for advertising or unrelated marketing purposes.

Some service providers used by Nordlight Healing may process personal data outside the United Kingdom. Where this occurs, appropriate safeguards are used to protect personal data in accordance with applicable data protection laws.

 

9. How long your data is kept

Your data is kept only for as long as necessary for the purposes it was collected, including legal, tax, insurance, and record-keeping requirements.

Typical retention periods are:

  • contact form enquiries: up to 12 months
  • booking records and appointment history: up to 6 years
  • Reiki and Seichem client forms and session records: up to 6 years after your last session
  • tarot client records: up to 2 years after your last session
  • financial and payment records: up to 6 years
  • newsletter subscriber data: until you unsubscribe or ask to be removed
  • marketing consent records: up to 6 years

Where information is no longer needed, it will be securely deleted.

 

10. Your rights

Under UK data protection law, you have the right to:

  • request access to your personal data
  • request correction of inaccurate data
  • request deletion of your data where appropriate
  • request restriction of processing in certain circumstances
  • object to the processing of your data where applicable
  • request a copy of personal data you have provided in a portable format where applicable
  • withdraw consent for marketing at any time

Requests will usually be responded to within one calendar month.
